A project closure document template formally closes the project by confirming that all deliverables have been completed and accepted, documenting final outcomes against objectives, and authorizing the release of project resources. According to the Project Management Institute (PMI), project closure is part of the Governance Performance Domain in PMBOK 8 and ensures organizational value is fully realized before the project team is disbanded. The project closure document template is the final governance milestone of the project — it represents the formal agreement between the project team and its sponsors that the work is done and the transition to operations is complete. Without this document, projects risk drifting into endless maintenance without formal boundaries.

What is a Project Closure Document?

A project closure document template is the final formal document that signifies the end of a project. It summarizes planned versus actual performance across all key dimensions, confirms stakeholder acceptance of all deliverables, identifies any open items transitioned to operations, documents benefits realization status, and provides the formal sign-off that releases the project team and closes financial accounts. The project closure document is prepared by the project manager with input from the team and reviewed by the sponsor before signature. It differs from the lessons learned document in that it focuses on formal completion and handover rather than knowledge capture and organizational improvement. In PMBOK 8, completing the project closure document is mandatory before resources are reassigned and project accounts are closed.

How to Use This Project Closure Document Template (PMBOK 8)

  1. Collect all deliverable acceptance confirmations — Gather signed acceptance checklists for every project deliverable before completing this document. The closure document should reflect confirmed acceptances, not pending ones.
  2. Compare actual performance against approved baselines — Pull data from the project management information system to calculate final schedule variance, cost variance, and scope completion metrics for the performance summary.
  3. Assess objectives and benefits — For each objective defined at initiation, document the evidence of achievement and its measurement. For benefits that are longer-term, document the measurement plan and hand it to the benefits realization owner.
  4. Document lessons learned and knowledge transfer — Ensure the lessons learned document is finalized and that all operational handover activities are complete before requesting sponsor sign-off on closure.
  5. Obtain formal sponsor sign-off — Schedule a closure meeting with the sponsor and key stakeholders to walk through the project closure document, address any final questions, and obtain signatures.
  6. Archive all project documentation — After closure sign-off, archive all project documents in the organizational repository following the document management procedures defined in the project management plan.

When to Create This Document (PMBOK 8)

The project closure document template is created at the end of the project lifecycle, during the final phase of the Closing Performance Domain activities. In PMBOK 8, it may also be created at the end of a project phase in multi-phase projects where phase closure is formally required. The document should not be initiated until all deliverables have been completed and accepted, all knowledge transfer activities are done, and the benefits realization plan has been handed to the appropriate operational owner for post-project monitoring.
